Pricing & process.

How we estimate, what's included, and how we run a project from kickoff to final files.

How does pricing work?

Our fees are structured around two principles — project fees with included revisions and customizable service tiers.

Project fees cover revision rounds so your work lands on budget and on time. Stakeholder count and 1-on-1 time factor into the fee. Tiers range from cleanup to full custom graphics and animation, with a blended rate that includes designers, an art director, account & asset management, and content production. Once we scope your project, we'll send an SOW for review and approval.

What are your payment terms?

We require an upfront payment for any sum under $5,000. For sums above $5,000, we require a 50% deposit with the balance due prior to delivery of final files.

What forms of payment are accepted?

Our preferred method of payment is ACH/bank transfer, and it is an easy set up from our QuickBooks software. We accept all major credit cards (Visa, Mastercard, Discover, American Express) with a 3% convenience fee. We also accept checks, but snail mail may delay the kickoff date of your project.

What are your typical turnaround times?

Academic & Professional: In most cases, turnaround will be 48-72 hours. If you need your file in less than 48 hours, we'd be happy to accommodate your rush timeline with a 25% rush fee.

Startups: Development depends on the length of your piece, whether or not you have the content developed, and whether or not you have a look and feel or template we can place it into. Depending on complexity, a typical deck turnaround can range between 3-10 business days. 

Corporate: Nearly 90% of our corporate tier clients are on retainer, which allows for faster delivery and no rush fees. Typical turnaround ranges between 24-72 hours without content development time. Longer projects, such as corporate templates and projects with multiple stakeholders, can range 10-15 business days, which includes feedback time.

Complex project turnarounds start at 3 business days.

Our sales deck needs some work - how can R+C help?

Your sales deck is the first stop in often the first sales process and a very important part of your branded collateral. Message us through our CONTACT US page or chatbot and send us what you’re currently working with (if you have one!) so we can start a conversation about how best to help you. Leave the design work to us so you can focus on selling!

Do you also do regular graphic design work?

Yes! That’s the short answer.

The long answer is... we’re a full service graphic design firm, equipped and ready to help you with all your other graphic and print design needs. Whether you have a digital piece that you want to be converted to print or an entire print-based marketing campaign, Ruby + Citrine has the knowledge and resources to help you navigate the entire process.

We can also provide editable templates for documents (e.g., newsletters, letterhead, proposals, etc.) you may need to revise and print multiple times.

What roles do you support onsite for events?

Whether you’re creating a high-quality webinar or hosting a conference, we can help. We fill multiple on-site positions, including presentation specialist, graphics operator, content producer, teleprompter, and PowerPoint notes prompter.

Do you have graphics operators who can go onsite to events?

Yes, someone on our team can serve as your graphics operator. This service may be particularly helpful to you if you don’t need a full-fledged presentation design and would rather have a lower-third component to reinforce your in-person or online keynote speaker.

Do you offer digital assets management?

Yes, when you need a team to help you gather assets or large amounts of information and organize each piece in a meaningful, helpful, and secure way – you know where to find us.

Is your team available to travel?

In short, YES! Our small but mighty team enjoys jumping on a plane to support you in person. Name someone better to support you during a presentation than the design team that helped you craft your presentation. We’ll wait.

Do you offer one-on-one PowerPoint training?

We sure do. Education is one of R+C’s core values — we are Nerdy for PowerPoint™ and happy to share. We can craft a custom training for you and/or your team based on the topics you want to cover.

03 — Policies

Policies & the fine print.

The standard terms we work under — written plainly so there are no surprises.

Abandonment.

If we’ve delivered a file (draft or presumed final) and don’t hear back about further edits within 10 business days, we consider the project complete and closed. Future changes are billed at our standard rate.

Blackout dates/holidays.

R+C is closed on New Year’s Day, Presidents’ Day, Memorial Day, Independence Day, Labor Day, Veterans Day, Indigenous Peoples’ Day, Thanksgiving Day, Black Friday, and Christmas Day. The week between Christmas and New Year’s, our team works a reduced schedule.

Cancellation & refunds.

Because we set aside time and resources to dedicate to your work, we cannot accommodate cancellation or refunds of any kind once work has begun.

Changes to SOWs.

For single projects: if overages are expected to exceed 10% of the estimated time budgeted for a project, R+C will alert the client about a needed change to the SOW.

Cloud storage.

We use Dropbox to facilitate file storage and transfer. After a project wraps, we host files for your convenience for 90 days before removing them. If you prefer your own storage solution, we’ll need access for three (3) staff members to keep workflow efficient.

Confidentiality.

We may come into possession of confidential and proprietary information — trade secrets, business plans, financial information, customer data — and we agree to maintain its confidentiality and not use it for any purpose other than performing the services outlined in the contract. This obligation survives termination.

Limited liability.

To the maximum extent permitted by law, our liability for any claim arising out of or in connection with this contract — including any claim related to presentation design services — is limited to the total amount paid by the client. We are not liable for indirect, incidental, consequential, or punitive damages, or for any loss of profits, revenue, or data.

Rights of property.

All rights of final deliverables for custom work (“work for hire”) are transferred to the client. Any products purchased from the R+C Marketplace remain copyright of Ruby + Citrine LLC.
